1. Log onto SCANNELL using your User Name & Password
2. Find the Risk Assessment against which you wish to set a task using the Scoreboard.
Ø The Scoreboard is the accumulation of
all of the risk assessments carried out by the organisation. The Scoreboard
lists the risk assessments in order of highest score and applies the colour
coding (red=high, amber= high/medium, green=low) based on the risk thresholds
defined.
Ø Click on "Scoreboard" in the RISK
menu at the top of the page. The default display is RISK assessments with the
status approved and for which the user is responsible. The Assessment Type may
be selected in the filter i.e. Standard or Express along with other
criteria.
Ø If you know the ID number of the assessment you can type it in the “Go To RA ID” box on the upper right & click Go.
Ø When searching for Job Hazard Analysis or Multiple Environmental Aspect Analysis Risk Assessments, the search function is dynamic to allow one to search according to scorecard scores for the risk assessments or search per hazard/aspect scores within the risk assessments (using the Score Type function within the filter).
3. Open
the Risk Assessment by clicking on its ID.
4. Click on Add a Task under the Scorecard Details section.
Ø Tasks can be set against each of the
factors that were answered in Step 2 of the Risk Assessment (unless they are at
their lowest possible score), displayed under the Scorecard Details section. In
the Full Risk Assessment type the task may follow logically from the factor e.g.
If the DURATION OF EXPOSURE has a high score the Task could be a change in
working hours or introduction of a working pattern to reduce the
duration.
Ø If Tasks already exist for a
particular factor then there will also be the option to “Associate Task”. For
example re-enforcement of training for manual handling may be an existing task
against KNOWLEDGE / COMPETENCY and this issue may span a number of
assessments.
5. Description: Describe the Task to be done.

Additional Info: Enter additional information that may be useful for the
person responsible or "no comment".

Creation Date: This defaults to the date of entry (today) but can
be changed (note the correct format).
8. Target Completion Date: The date the Task is expected to be completed. An email alert will be created by the system once this date has passed.
9. Responsible: Select the person responsible for completing the task from the drop down list of users.

Management Programme: Select an appropriate Management Programme from the
drop down list.
Ø If you have the appropriate authority you may be able to create a new management programme from the link provided.
Ø If there isn’t a relevant programme listed contact the EHS Dept.

Assessment, Associated Question, Original Risk Score, Justification: The
Assessment, Question, Score & Justification associated with the task are
shown.
12. Target Score: Select the Target Score that you hope to achieve once the Task is complete. You will have the option to change this on completion if you have over or under achieved your target. This score will be used to automatically re-score the Risk Assessment when the Task is completed.
13. Click on Create Task.
You must choose or enter information where the fields are marked with a red asterisk *.
Only certain users have the access rights to create & edit tasks. Consult the EHS Dept. if in doubt. |
14. To Edit or Complete a Task first find it using either the RA & MP Tasks link or My Workspace link. If you received an email alert you can click on the link in the message and after log on it will take you directly to the Task. If you know the ID you can enter that into the box on the top right of the RA & MP Tasks page & click Go.
By default the RA Tasks page displays only the logged on user’s tasks. Click on Filter the RA Tasks link & select All My Groups to see all Tasks. There are also other filter options to help refine the search. |
15. To achieve greater granularity or scope for actions you can also create Sub-Tasks from this page. Note that all Sub -Tasks must be closed before a Task can be closed.
16. When
completing a Task (or Sub-Task) you must select the Actual Outcome of the Task
in terms of risk factor score, enter a completion date and enter completion
comments. Click on the Complete Task when this is done.
When ALL sub-tasks are completed, the user responsible of the parent task will receive an email notification informing them that all sub-tasks have been complete. |
